Sort into clear categories
- Identity: passport, birth certificate, ID, driving licence.
- Finance: bank details, tax records, payslips, insurance.
- Home: tenancy or mortgage, utility accounts, warranties, manuals.
- Health: medical records, prescriptions, insurance.
- Work: contracts, qualifications, references.
Physical and digital
- Keep physical originals in a single labelled folder or box — ideally fireproof for the critical ones.
- Scan the important documents and store them securely in the cloud with a strong password.
- Having a digital backup is a lifesaver if originals are lost, stolen, or damaged.
Do it once, maintain lightly
Setting it up takes an afternoon; keeping it up takes a minute per document. File things as they arrive instead of letting a pile build. Useful when preparing for an emergency, too.
